The Clean Heat Rhode Island application is a two-step process. The Part 1 application can be completed prior to equipment installation and serves as a pre-approval to secure your incentive funds. Part 2 is to be completed after equipment installation. The application can be completed by either the equipment owner or installer. Please see below for step-by-step instructions on how to complete the application.

Application – Part 1

Stage 1

Create an account on the Clean Heat Rhode Island application portal. Activate your account by clicking the link in the email you receive. Once your account is activated, log in to the application portal.

Stage 2

Select your role as either an installer or business representative.

  • Installers should select their company name from the dropdown menu. If you do not see your company name on the dropdown menu you will need to complete the installer registration form to be added to the Heat Pump Installer Network.

Stage 3

Begin a new application.

Stage 4

Complete Step 1 of the application by entering your project name, installer name, the address of the installation, and general information about your business.

Stage 5

Complete Step 2 of the application by providing information about your utility account and your commercial building.

Stage 6

Complete Step 3 of the application by entering information about the heat pump or heat pump water heater being installed.

Stage 7

Review your incentive amount and upload the required documents to complete Step 4 of the application. All applications will require a copy of your utility bill, a copy of your heat pump proposal, a project review document or Manual N, and proof of business revenue. Additionally, read and sign the primary heat attestation.

Stage 8

Submit your incentive application. Your application will be reviewed by the program administrator. If the program administrator has any questions regarding your application, you will receive the request via email. You will also receive an email when your application is approved. Once your application is approved your incentive amount will be reserved.

Application – Part 2

Stage 9

Once your Part 1 application is approved and the installation is complete, return to the application portal to complete Part 2. Click “Continue” from your application dashboard to access the application.

Stage 10

Complete Step 5 of the application by entering the installation date, final equipment cost, and entering the bank details for the rebate recipient. Please also check that the equipment information entered in Part 1 is accurate and has not changed.

Stage 11

Complete Step 6 by uploading the required documents.

Stage 12

All commercial applications are subject to completing a Quality Assurance assessment prior to incentive disbursement. Your application will be selected for either a virtual Quality Assurance assessment or an in-person Quality Assurance assessment. You will be notified of your assessment method and given further instruction once you have submitted your Part 2 application.

Stage 13

Once your Part 2 application has been submitted and your Quality Assurance assessment has been submitted, the Clean Heat Rhode Island administration team will review your application. Incentive payments will be released to approved applicants via ACH payment within 1 week.
